Why use Grouped Items?
Grouped Items are useful when you want to automate sends but still give recipients a choice.
Automate bundles: Use them for onboarding, birthday, anniversary, or other employee gifting campaigns that would otherwise rely on manual landing pages.
Personalize swag: Let recipients choose between item variations such as size, color, gender, or similar options.
Pro Tip: For new hire campaigns where recipients may not yet have access to their work email, enable "Send to personal email address if available" so the detail confirmation email goes to their personal inbox.
Before you start
SKU Setup: Every item variant (e.g., Small Hoodie, Medium Hoodie) must exist as an individual SKU in the Reachdesk Inventory tab before you can group them.
Inventory Status: You can begin setup even if items are still in transit, provided the SKUs have been created in the platform.
Set up Grouped Items for an Automated Campaign
Step 1: Create the Grouped Item
Go to Warehousing > Inventory.
Click the Grouped Items tab, and then Add New Group.
Enter a clear Group Name (e.g., Onboarding Hoodie).
Add all relevant item variants to the group.
Example: If recipients need to choose a hoodie size, add each SKU (S, M, L, and XL) to the same Grouped Item.
Descriptive Naming: Ensure your individual SKU names are clear (e.g., "Blue Hoodie - Large"), as this is exactly what the recipient will see in their selection dropdown.
Step 2: Add the Grouped Item to an Automated Campaign
Once the Grouped Item is created, add it to your bundle-based Automated Campaign.
Selecting a Grouped Item automatically adds all items in that group to the campaign. Reachdesk highlights which items in that group are available in the warehouse selected for that campaign.
Note: Because campaigns are warehouse-specific, the recipient will only be offered items that are currently stocked in that specific warehouse.
Step 3: Combine Grouped Items with standard items
You can mix and match items. For example, if an onboarding bundle includes a box, pen, and hoodie, and only the hoodie has size options:
Add the Grouped Item for the hoodie.
Add the box and pen as individual items. The recipient will be prompted to choose their hoodie size, while the box and pen are included automatically.
Step 4: Recipient detail settings
If a campaign includes a Grouped Item, the "Ask recipient to confirm their details" setting will be automatically enabled and cannot be turned off. This is required because the recipient must make their selection before the warehouse can process the order.
Frequently Asked Questions
What happens if the recipient does not make a choice?
If the recipient doesn't confirm their choice before the Send expires, it is canceled and the funds are returned to your wallet.
What happens if some items are out of stock?
The recipient will only be shown the items that are currently in stock at the selected warehouse. The options they see are updated in real-time.
What happens if all items in a group are out of stock?
Before the send: If all items are OOS before the Send is triggered, it will move to a Pending status. An Admin will need to edit the campaign or replenish stock to move it forward.
After the email is sent: If stock runs out after the recipient receives the email, they will see a message explaining that items are currently unavailable and will be encouraged to try again later.
Alerts: If you have low stock alerts configured, you'll receive an update (sent every Monday) to let you know replenishment is needed.
Can I include items from different warehouses in the same Grouped Item?
Yes, but remember that Automated Campaigns are warehouse-specific. When you add a Grouped Item to a campaign, the platform will only "see" and offer the items that exist in the warehouse assigned to that campaign.
What is the difference between a Grouped Item and an Item Family?
Grouped Item: A set of items offered to a recipient as a choice (Pick 1 of X).
Item Family: An internal organizational tool used to group SKUs in the Inventory tab (often managed via bulk CSV). It is not visible to recipients.
