Always ensure that the venue you are shipping to is aware you are doing so. Inform them of the recipient's name on the package so they can accept it upon arrival. Failure to do this can lead to shipments being rejected at the venue/event and returned to our warehouses.
You can now ship items from our warehouse to events directly from the platform!
Who has access to ship items from our warehouse to events?
- Customers who have access to events shipping based on their contract.
- Users with an admin or campaign manager role can create and see orders for Events in the Stock Shipments tab.
- To view where each warehouse can ship events to by country, please review our rate card.
How can you ship items from our warehouse to an event venue?
- Navigate to 'Warehousing' and select the Stock Shipments tab
- Click on "Create shipment" in the top right
- Select the Event shipment card & in the modal click 'Select'
- Fill out the recipient details and event address. You can include a packaging label if the venue requires it, which will be stuck on the exterior of the box to aid with delivery. Reachdesk will also generate a similar label based on the details entered on this page
- The full address, recipient name, and venue information are printed on the shipping label
- The Reachdesk generated packacking label will include the event name, venue information, booth number, and recipient name
- Click "Items & dates" to proceed
- Next, select the Items and quantity you want to send. Ship-from warehouse is now auto-detected based on the destination address.
- On this page, you can choose to include return label

Within the Delivery method section, you can select the dates between which the delivery needs to arrive. For Event Shipments, our platform actually requires you to allow at least a 2-day delivery window.
- In the summary section on the right-hand side, you can select which wallet you would like to pay from, as well as a complete overview of the order and its costs.
- Click "Review" to proceed to the last step, where you can check everything before finally submitting the order by clicking "Schedule shipment"
Editing or Cancelling an Event Order
You can make changes to your Event order directly from the Stock Shipments list by locating the order and selecting Actions. From here, you can:
Edit order details
Add or remove items
Request a return label
Cancel the order
⚠️ Time restriction:
Changes or cancellations are only available up to 7 working days before the earliest arrival date. After this cutoff, the event order is locked and no further edits or cancellations can be made.
‼️ Note: The ability to edit or cancel a large shipment is only available for event orders.
For other shipment types:
- Stock shipments cannot be edited or cancelled once submitted
- Warehouse transfers cannot be edited or cancelled once submitted
