With this feature, you can set a quarterly limit on how much each team can send gifts that are stored in our warehouses. This will help you control and reserve gifting inventory between different teams.
How can a quarterly send limit be set per item per team?
Note that this is only available for admin and campaign manager roles who have access to the Inventory page.
1. Go to the Inventory page > Items page
2. Select the three dots in the item row that you want to update and click "Set send limits"
3. On this page, you can see the team(s) that have access to this item and set their quarterly send limit per warehouse. By default, each team with have Unlimited Sends and can sent as much as the quantity in stock of the item.
4. Select the warehouse on the top bar where you want the quarterly send limit to apply.
5. Set the Quarterly Send Limit per team you want to update and click Save.
6. If the team has already sent this item in the current quarter, this will appear in the Current Quarterly Sends column. You can click this value and it will redirect to the Sends page, where you can see the gifts sent related to this item for this warehouse and this team for the current quarter.
7. The Quantity Available will show the following:
- If the team has Unlimited Sends, Quantity Available = item stock.
- If the team has a Quarterly Send Limit and this is greater than the Current Quarterly Sends and it is less than or equal to the item stock, Quantity Available = Quarterly Send Limit - Current Quarterly Sends
- If the team has a Quarterly Send Limit and this is greater than the Current Quarterly Sends and it is greater than the item stock, Quantity Available = item stock
- If the Current Quarterly Sends is equal to or greater than the Quarterly Send Limit, Quantity Available = 0
8. There is also a Campaigns column where you can see the number of campaigns that has this item. You can click this value and it will redirect to the Campaigns page, where you can see the campaigns that has this item for this warehouse.
How is the limit applied when sending a gift?
Sending a gift manually
When the user tries to send a bundle campaign with this item using the "Send a gift" flow, they will only see the quantity available based on their quarterly send limit.
For example, in this case there is 616 green pens available, but the user from the UK Marketing Team can only send 50 green pens at most and will see an error saying their max limit is 50.
Sending a gift automatically
When the gift is sent automatically using a Triggered Campaign or using our landing pages, once the limit is reached, the send with be "pending" and when the admin tries to approve this gift, they will see an error that the limit for this sender has been reached.
If the user has multiple teams
If the user has multiple teams, we will use the user's default team to apply the item send limits.
How does the limit reset?
Since the limit is applied on a quarterly basis, this means that the Current Quarterly Sends will be 0 at the first day of each calendar quarter.
For example:
- March 25th:
- Quantity in stock = 500
- Current Quarterly Sends = 200
- Quarterly Send Limit = 250
- Available Quantity = 50
- April 1st:
- Quantity in stock = 500
- Current Quarterly Sends = 0
- Quarterly Send Limit = 250
- Available Quantity = 250
