Event Shipping Best Practices & Understanding Send Types

Please note that orders are subject to fulfilment delays as a result of incorrect addresses, unclear packaging instructions, insufficient inventory, changes placed on order after the order is created.

Event Shipments

(Warehousing > Stock Shipments > Create Send > Event Shipment)

  • Used for bulk shipments directly to the event venue.
  • This is the only shipment method where Reachdesk delivers your swag and gifts on a specific arrival date.
  • This method requires at least 5 business days lead time, with no exceptions

Large Shipments

(Warehousing > Stock Shipments > Create Send > Large Shipment)

  • Used for bulk swag shipments delivered to a home or office address.
  • There is no guaranteed shipping timeline for this method.
  • Arrival date will vary based on economy carriers' policies.

Warehouse Transfers

(Warehousing > Stock Shipments > Create Send > Large Shipment)

  • This moves your stock between Reachdesk warehouses.
  • The arrival date will vary subject to customs.
  • Most will deliver within 10 business days after fulfilment.

Bundle Orders

(Gifting and swag campaigns created in Reachdesk)

  • This method is reserved for gift bundle sends containing a small number of items, including a handwritten note used for personalized gifting campaigns.
  • This method is not suitable for event sending, as a delivery date cannot be guaranteed, and should be reserved only for 1:1 gift sends.
  • Normally these orders are fulfilled within 3 business days.
  • Arrival date varies as subject to economy carriers. Most deliver within 5 business days after fulfilment.

Key reminders for event shipments

✅ Event Shipments enable you to ship by air, guaranteeing faster delivery.

✅ Event Shipments are the only method that allows you to select an arrival date.

✅ Event Shipments require at least 5 business days lead time and at least a 2-day delivery window.

✅ Be mindful of our receiving time SLAs. If the window between events is too tight, we recommend having duplicates of the same SKU.

✅ We recommend scheduling shipments to land at your event at least 48 hours before your event start date.

Instances that can delay event shipments

Trying to send items to an event via a Large Shipment or Bundle Order instead of an Event Shipment.

Sending to unsupported countries for events (see our rate card for details).

Including power banks, or other restricted warehouse items.

Shipping items that are not in stock at any of our warehouses.

Sending items to our warehouse without compliant packaging may delay stocking. Please follow our packaging guidelines.

Selecting items from open event returns.

FAQs

Why has my event order not shipped yet?

To ensure your event order arrives exactly when you need it, we schedule shipping a few days before your requested delivery date. Once the order is shipped, an email is sent with this information as well as the tracking number/link to check your order status.
