The Schedule Sends feature in Reachdesk gives you full control over when your gifts are processed or emails sent, making it easy to plan ahead or time your send for the perfect moment!
What does “Schedule Sends” mean?
This feature allows you to choose whether to send your gift right away or schedule it to be sent at a future date and time. You’ll find this option on the final step of the send flow – the Review step.
The Schedule Sends option is available for:
- Gift Card sends
- Marketplace sends
- Bundle sends
Let’s break down how it works for each type of send:
Gift Card Sends
If you schedule a gift card send, the email with the redemption link will be sent to your recipient only at the date and time you selected. Until then, it will remain pending.
Marketplace & Bundle Sends with Address Confirmation
In this case, the email asking the recipient to confirm their address will be sent only on your scheduled date and time. This ensures your recipient gets the confirmation request exactly when you want.
Marketplace & Bundle Sends without Address Confirmation
For sends that don’t require address confirmation, the scheduled time determines when the order is submitted to the warehouse or vendor for processing. It won’t be sent for fulfillment until the scheduled moment.

- This feature does NOT schedule the actual delivery date of a physical item.

How to Edit a Scheduled Send
If you need to change the scheduled time after placing your send:
- Go to your Sends tab, where the send will show as Scheduled.
- Click on Engage to open the engage page.
- Click Change Date.
- Pick a new date and time from the calendar.
Your changes will be automatically saved and applied. This feature is available to all user roles.
🔍 Important Notes About Scheduled Sends
When using the Scheduled Send feature, here are some key details to keep in mind to help you plan with confidence:

Not available for "Send via Link":
Scheduling is only available when sending directly to a recipient via email. If you choose the "Send via Link" option, the gift will be created and accessible immediately—scheduling won't apply. -
Date shown is the Created Date, not the Send Date:
On the Sends page, the date you see reflects when the send was created, not when it's scheduled to be sent. - Each user will see this date converted to their local timezone on the platform, so you’ll always know exactly when it was created in your own time zone.

A pending transaction is created when the send is scheduled:
When you schedule a send, a pending transaction is created. The funds are immediately reserved from your Unclaimed Balance and held until the send is processed or cancelled. -
Cancel or edit anytime before the scheduled date/time:
Need to make changes? No problem. You can reschedule or cancel the send anytime before the scheduled date and time. Just go to your Sends tab, click Engage, and choose Edit Schedule Time or Cancel. If cancelled, the reserved funds will be returned to your balance.
