In this article, you will find the different ways to return your items from events. The page is split into the following sections:
- Returning with a Reachdesk provided Return Label
- Returning without a Reachdesk-provided Return Label
Always ensure that the venue you are shipping to is aware you are doing so. Inform them of the recipient's name on the package so they can accept it upon arrival. Failure to do this can lead to shipments being rejected at the venue/event and returned to our warehouses.
We cannot provide return labels when shipping to the following countries:
- Norway
- Switzerland

Returning with a Reachdesk-provided Return Label
To utilize this option, you must have requested a return label when creating the order by turning on the toggle to the right of "Include return label on the page shown below. You will see the estimated return charges within the summary to the right of the page. You will only be charged for this cost when/if you return items and they have been checked in.
When using this option, your event shipment box, which gets delivered to your event, will contain a printed UPS return label. This label will be linked to an automatically generated Ship Notice, which will be used to stock back in any items you return. You do not need to create a Ship Notice or count the quantities of each item; our warehouse will handle this. You must not include additional items that were not part of the original outbound shipment. Hazardous goods (i.e. batteries) are also prohibited.

How to return using UPS pickup via the returns portal:
Pack up your items into a box (if you had multiple boxes and return labels delivered, you can return multiple boxes), seal the box, and attach the return label.
Visit our returns portal here. From here, you will be able to schedule a pickup through UPS to a specific location and date. Simply enter your collection date, UPS Return Tracking number (found in the platform, event return emails, and on the return label provided), contact information, and pickup address.
Once scheduled, you will be provided with a time window on the collection date. Make sure that someone is available to meet the UPS driver on location to ensure a successful pickup. UPS will use the contact information provided to reach out if there are any issues.
How to return using UPS Drop-off:
Pack up your items into a box (if you had multiple boxes and return labels delivered, you can return multiple boxes), seal the box, and attach the return label.
Use this tool to locate a UPS drop-off location that is close to your event. Make sure to check their opening hours. First, pick your country, and then click "Find Closest UPS Location" in the top left and search with your address.
Take your returns to your chosen location, where you will be able to execute the return directly with UPS. The rest is then handled for you!
Once the box gets back to our warehouses, we will begin checkin, you will be notified when this begins and when this finishes. You can also monitor the progress from the linked Ship Notice in the platform.
Returning without a Reachdesk provided Return Label
If you selected 'No' for a return label during the order creation flow, or if your event was in a country where Reachdesk return labels are not supported (like Norway or Switzerland), you will need to follow the standard flow for stocking in new items to the warehouses, detailed in these steps:
- Count how many quantities are left for each SKU
- Pack your box with the items
- Create a new Ship Notice, add the SKUs and their quantities
- Locate the nearest carrier or schedule a pickup with your preferred carrier
- Purchase a shipping label and attach it to the box. Make sure to include the SN# on the box or shipping label
- Leave the box with your carrier to handle the shipment
Non-EU Destinations (Norway & Switzerland)
Because Norway and Switzerland are outside the EU, they have stricter inbound customs regulations. Returning items from these countries requires a commercial customs invoice, which Reachdesk cannot generate on your behalf for the return leg.
- Because of this, we cannot provide return labels when shipping to these countries.

If you attempt to schedule an "Event Return" shipment to these destinations, the platform will block the order and display the error: "Shipping country must not require customs info".
- How to proceed: To successfully ship your event materials to these countries, you must ensure the "Include return label" toggle is turned off (making it a standard outbound Event send). If you need to return leftover items to the warehouse after the event, you will need to arrange your own return shipping directly with a carrier and provide them with the necessary customs invoices (see the Returning without a Reachdesk provided Return Label section above).
