Overview
You can use Pardot Engagement Studio or Automation Rules to add prospects to a Salesforce Campaign. You then use that campaign membership to trigger a Reachdesk Automated Campaign.
Before you start
Your Pardot and Salesforce Campaigns must be connected.
You must have permissions to create/edit Salesforce Campaigns and Reachdesk Automated Campaigns.
For physical gifts, the Salesforce Campaign Member record must have a Country populated for the trigger to succeed, even if you are using address confirmation.
Recommendation: Create dedicated Salesforce Campaign Types for "Direct Mail" and "eGifting" to keep your reporting clean.
Steps
Step 1: Create the Salesforce Campaign
In Salesforce, create a new Campaign.
Configure the Campaign Member Statuses. You’ll need a specific "entry" status to act as the trigger (e.g., "Member" or "Pardot Trigger").
Ensure you also have the standard Reachdesk statuses ready for mapping later (e.g., Shipped, Delivered, Claimed).
Step 2: Create and sync your Reachdesk Automated Campaign
In Reachdesk, create an Automated Campaign.
Navigate to the Campaign Sync section in the campaign setup.
Search for and select the Salesforce Campaign you created to link the two platforms for activity logging.
Step 3: Configure the Campaign Trigger
In the Campaign Trigger section of your Reachdesk setup, configure the following:
Connector: Salesforce
Object: Campaign Member
Trigger Criteria:
Campaign ID = [Paste your Salesforce Campaign ID here]
Status = The "entry" status you chose in Step 1 (e.g., "Member").
Note on Retroactive Sends: There is a toggle for "Send gift to anyone that already matches the criteria above." For new Pardot flows, we recommend keeping this OFF to prevent accidental bulk sends to historical campaign members.
Step 4: Configure Pardot
You can add prospects to the Salesforce Campaign using either Automation Rules or Engagement Studio.
Option A: Pardot Automation Rule
In Pardot, go to Automation Rules and create a new rule.
Set your criteria to identify the prospects you want to gift.
Add the action "Add to Salesforce Campaign".
Select your Campaign and set the status to your trigger status (e.g., "Member").
Option B: Pardot Engagement Studio
Open your Engagement Studio Program.
Add an action step: "Add to Salesforce Campaign".
Select your Campaign and set the status to your trigger status (e.g., "Member").
Step 5: Map statuses for tracking (Sync gift activity)
To ensure Salesforce updates as recipients interact with the gift, you must map the statuses before the campaign goes live.
In your Reachdesk campaign, scroll to the Sync gift activity section.
Select your Integration user.
Map the Reachdesk events to your Salesforce Campaign Member Statuses:
eGift Statuses: Sent, Opened, Clicked, Claimed.
Physical Statuses: Processed, Shipped, Delivered, Returned, Donated, Cancelled.
Save your changes.
Final checks
Always configure your mappings and save the campaign before Pardot starts adding members.
Confirm the Reachdesk campaign is Active (not paused).
Confirm your Pardot automation or program is Enabled.
Once the Pardot rule runs, prospects will hit the Salesforce Campaign with the trigger status, which tells Reachdesk to automatically send the gift.
