Overview
You can trigger physical gift sends directly from HubSpot landing page forms. The setup depends on one key decision: whether you want to use Reachdesk’s Address Confirmation feature or handle the address data yourself in HubSpot.
Choose Your Setup
We recommend choosing your setup based on your comfort level with managing home address data (PII) within your HubSpot CRM.

Important: If you turn Address Confirmation off, the home address entered into the HubSpot form will overwrite any existing address data (like an office address) on that contact record.
How to Set it Up
Regardless of which option you choose below, the underlying technical connection is the same.
Create your Campaign: In Reachdesk, create an Automated Campaign and select Connector: HubSpot.
Get your Webhook URL: Once the campaign is active, Reachdesk will provide a unique POST Webhook URL. Copy this.
Secure your Send: Go to Organization > Settings > API Tokens in Reachdesk to generate a token. You'll use this in HubSpot to ensure only authorized requests trigger your gifts.
Build the HubSpot Workflow:
Create a contact-based workflow triggered by your Form Submission.
Add a "Trigger Webhook" action.
Set the method to POST and paste your Reachdesk URL.
Under Authentication, select API Key and enter your Reachdesk token.
Option 1: Address Confirmation Turned On
Best for: Keeping your CRM clean of home addresses and ensuring delivery accuracy.
HubSpot Form Requirements
Reachdesk only needs two fields to find the contact and start the process:
Email Address
Country
How it works
The prospect submits your form.
HubSpot sends the Email and Country to Reachdesk via the webhook.
Reachdesk sends an automated email to the prospect asking them to confirm their delivery address.
The gift only ships once the prospect provides their address.
Option 2: Address Confirmation Turned Off
Best for: A "frictionless" experience where the gift is sent immediately after form submission.
HubSpot Form Requirements
You must collect all delivery details on your HubSpot form. These must map to standard HubSpot contact properties:
First Name & Last Name
Email
Street Address
City
Postal Code
Country
How it works
The prospect submits the full address on your landing page.
HubSpot captures this data and pushes it to Reachdesk via the webhook.
Reachdesk triggers the gift send immediately using the data provided in the form.
Data Hygiene: The 14-Day Rule
To stay compliant with PII (Personally Identifiable Information) best practices, Reachdesk recommends setting up a secondary HubSpot workflow to "wipe" home address fields 14 days after a gift is claimed. This ensures you aren't indefinitely storing sensitive home data in a business CRM.
Frequently Asked Questions
Can I let the recipient choose their gift on the HubSpot form?
Yes. You'll need to create multiple campaigns in Reachdesk (one for each gift). In your HubSpot workflow, use If/Then branches based on the form selection to trigger the specific webhook URL for that gift.
What happens if a send fails (e.g., out of budget)?
If the webhook fails to trigger a send due to budget or approval settings, the record will appear in Reachdesk under Sends > Pending.
Which option creates the fewest steps for the recipient?
Address Confirmation OFF. The gift is processed as soon as they hit "Submit" on your HubSpot form.
What is the risk of turning Address Confirmation off?
You may overwrite existing office address information in HubSpot if you use the same address properties to collect home address data.
