Reachdesk allows you to request a meeting before a recipient can claim their gift, helping your team turn gifting into meaningful conversations while still delivering a thoughtful experience!
Currently, Reachdesk supports meeting links from the following scheduling platforms:

How does it work?
When this feature is enabled in a campaign, the recipient is first prompted to book a meeting using your chosen calendar link. This feature available for both Manual and Automated Campaigns under 'Send Options'. Once the meeting is scheduled, they are automatically redirected to the gift claim page in the same browser window.
This process removes the need for follow-up emails or manual reminders. The meeting is confirmed first, and the gift is then unlocked for the recipient.
💡 Example:
A sales representative sends a gift invitation to a prospect. Before the prospect can claim the gift, they are prompted to schedule a product demo. Once the demo is booked, the prospect immediately continues to the gift claim page.
You do not need to integrate any meeting platforms to use this feature! Instead, you simply provide the meeting booking link from your preferred calendar tool.
How to enable the Book a Meeting feature in Manual Campaigns
1. Navigate to Campaigns and choose an existing campaign or create a new campaign you would like to have Book a Meeting enabled for.
2. Toggle Book a Meeting on & save the campaign!
Sender experience
When the sender chooses a campaign that has Book a Meeting enabled on the campaign level, they can decide if they wish to request a meeting before offering a gift. The setting is optional, so they can choose to leave it blank or provide a calendar of their choice out of supported tools.
Recipient Experience
When a recipient opens the gift link, they are first prompted to schedule a meeting using the calendar provided by the sender. Once the meeting is booked, the recipient is automatically redirected to the Reachdesk page where they can claim their gift.

This happens in a single, seamless flow, creating a smooth experience without additional steps or follow-up emails.

How to enable the Book a Meeting feature in Automated Campaigns
The Book a Meeting feature can also be used with Automated Campaigns, when using multiple use links only. This allows teams to send meeting-enabled gift links at scale through automation tools. Here's how to enable it:
1. Navigate to Triggered Campaigns > New Triggered Campaign. Alternatively, you can choose to edit an existing triggered campaign;
2. Choose your campaign automation and select 'Generate link for multiple use';
3. Toggle Book a Meeting;
4. After saving the campaign, Reachdesk generates the links required to distribute the campaign. You will need to enrich these links with information about your calendar hosts. You can read more about the multiple-use links functionality here.
The first link functions like a standard multiple-use link. Teams can add this link to automated workflows in CRM or marketing platforms such as Marketo, Eloqua, HubSpot, or Microsoft Dynamics. This allows companies to send gift invitations at scale—for example to event attendees, customers, or targeted prospects.
The second link is specifically designed for direct outreach. This link can be shared in conversations such as email messages, LinkedIn InMail, social media messages, or personal outreach.
Both links can be used multiple times and are not tied to a single recipient.
Sender Experience
To activate the meeting booking feature within the generated link, users need to replace the placeholder {MEETING_URL} in the campaign link with their own meeting calendar link. This can be a link from any scheduling tool such as Salesloft, Calendly, or other meeting platforms.
Each sender distributing the link can replace {MEETING_URL} with their own calendar link while still using the same campaign.

This flexibility allows different team members to share the same campaign while directing recipients to their own calendars.
Platform-Specific Requirements
Chili Piper:
Older Chili Piper campaigns may use a legacy ?host= parameter.
- Legacy Structure: https://redeem.reachdesk.com/gifts/EXAMPLE-ID?host={MEETING_HOST}
- Legacy Enrichment: This required only the host handle (e.g., snezh-terentieva) from the Chili Piper URL (.../book/me/snezh-terentieva).
Groove/ Clarie:
- Supports both standard URL formats: https://meetings.grooveapp.com/user-name and https://app.grooveapp.com/meetings/user-name
HubSpot:
- Does not support custom domains. The link must use the default https://meetings.hubspot.com/… format to render correctly.
How Multiple-Use Links to Validate Recipients
Multiple-use links validate recipients against the CRM connected to the campaign automation. This validation ensures that only contacts already present in the CRM could claim the gift. This helps to protect campaign budgets and ensure that gifts are only redeemed by qualified prospects.
If a recipient is not found in the connected CRM, they will be asked to contact the sender. However, they will still be able to book a meeting using the calendar link.
Tracking Meetings and Gift Activity
You can track meeting bookings and gifting activity directly within Reachdesk Insights. Navigate to Insights > Meetings Booked to view campaign performance data.
This dashboard provides visibility into meeting activity across your campaigns, including overall booking performance and link effectiveness.
Teams use this view to monitor:
- The total number of meetings booked across all users, calendars, and campaigns
- The success rate of each booking link
- Which BDRs or tools generate the most meetings
- Opportunities influenced by meeting-driven gifting campaigns
💡 This reporting helps teams understand how gifting campaigns contribute to pipeline generation.
