Include warehouse item costs in Bundle campaign spend

For better budgeting, you can choose to include the cost of items from our warehouse in the total cost of your gift.

Senders will be charged the full cost of the bundle campaign, including the warehouse item costs. Since you already paid for the items, once the bundle is shipped to the recipient, the cost of the warehouse items will be refunded back to the organization wallet

This will allow admins to take into account the full cost of the gift in the sender's budget.

 

Enable this feature

  1. Log in as an admin and go to Organization > Settings > Budgeting. Enable Include item cost to bundle campaign spend.

  1. Go to a Bundle campaign and enable Include warehouse item cost in the Send options section.

  1. Once enabled, the total cost of the warehouse items on the campaign is added to the total estimated cost of the bundle.

  1. For Amazon Bundle campaigns, the cost of the Amazon product is shown separately.

  1. Save the campaign. The updated total cost appears on the campaigns page and when you select Send gift.

What happens when a Bundle campaign is sent with this feature enabled

  1. When this feature is enabled, the cost of warehouse items is included in the total spend at each of the following steps in the sending wizard:

  1. When the gift is sent for address confirmation, the total cost of the gift is added to the sender's unclaimed balance. 

  2. Once the gift is processed — either the recipient claims and confirms their address, or the gift is sent directly to an address without address confirmation — the total cost of the gift is deducted from the sender's available balance. 

  3. Once the gift ships, the cost of the warehouse items is refunded to the organization wallet that matches the currency of the payment wallet.

 

View related transactions

When a Bundle campaign with this feature enabled is sent, two types of transactions are created: one for the cost of the warehouse item, and one for shipping and pick and pack fees.

  1. Go to Balances > Transactions.
  2. Filter by the gift you sent to see its related transactions.
  3. Filter the transaction type by Item Cost Allocation to see transactions related to the warehouse item cost.

Once an Item Cost Allocation transaction is processed (when the bundle ships), the cost is returned to the organization wallet that matches the currency of the payment wallet used.

Transfer warehouse item spend to another wallet

By default, the cost of warehouse items is returned to the organization wallet that matches the currency of the payment wallet used, once the Item Cost Allocation transaction is processed. An option to select the refund wallet in the organization budgeting settings will be added in a future update.

Until then, follow these steps to transfer warehouse item spend to another wallet manually:

  1. Go to Balances > Transactions.
  2. Filter the transaction type by Item Cost Allocation and the status by Processed.
  3. Filter by team or campaign, or however you want to track your warehouse item spend.
  4. Once the table updates, click the three dots in the top right and select Download as CSV.

  1. Calculate the total spend you want to transfer to another wallet. 
  2. Go to Balances > Wallets and click Transfer Credit
  3. Enter the amount to transfer, select the organization wallet to transfer from, and select the wallet to transfer to.

Notes

  • This setting only applies to Bundle campaigns, not stock shipments.
  • Both the organization setting and the campaign setting must be enabled for the warehouse item cost to be included in the total spend. If the campaign setting is not enabled, only shipping and pick and pack fees are included.
  • If the organization setting is disabled, the campaign setting is disabled automatically, and future sends will not include the warehouse item cost.
