Overview
Transaction statements are available on the Organization > Billing page and are accessible only to admin users.
- Reachdesk generates a transaction statement at the start of each month for each payment currency used in your organization.
- If your organization has no transactions for the month, Reachdesk does not generate a statement.
- Each statement shows all transactions for the billing period, based on the date a transaction was processed.
- Tax invoices and credit notes appear only if you sent gifts to a country where Reachdesk has a tax jurisdiction. See Tax Jurisdiction Countries below.
- You can download each transaction statement as a PDF or a CSV.

What appears on the transaction statements page
- Document number – A unique reference number for each transaction document, specific to the month and payment currency.
- Billing period – The date range for the month, based on the processed date of the transactions.
- Total charges – The total amount of transactions that deducted funds from the wallet in the payment currency.
- Total credits – The total amount of transactions that credited funds to the wallet in the payment currency. This occurs when there are refunds from cancellations, cost updates, or credit transfers.
- Total tax charges – The total amount of tax deducted from the wallet in the payment currency.
- Total tax credits – The total amount of tax credited to the wallet in the payment currency. This occurs when there are refunds from cancellations or cost updates.
- Actions – Options to download each statement as a PDF or CSV.
Transaction Statement PDF
The transaction statement PDF includes different sections depending on where you sent a gift.
1. Summary Page
- This will only appear if you've sent to one of our tax jurisdiction countries.
- It will show a list of tax invoices if you have sends to one of our tax jurisdiction countries, and credit notes if there are refunds within this period for sends to one of our tax jurisdiction countries.
- The total including tax amount is shown in the payment currency and the amount due is zero because these charges have already been settled from your Reachdesk wallets.
- It will show a list of average monthly exchange rates used to convert the amounts into the tax jurisdiction currencies, and a summary of what each document means.
2. Tax Invoice Page
- This will only appear if you've sent to one of our tax jurisdiction countries.
- There is one tax invoice per tax jurisdiction country if you've sent to that country.
- It will show a list of transactions what were processed for the billing period broken down into specific costs (product, shipping pick and pack) showing the net amount (before tax), tax rate, and tax amounts in the payment currency and jurisdiction currency.
- There is a summary of transactions by tax rate.
- The total including tax amount is shown in the payment currency and the amount due is zero because these charges have already been settled from your Reachdesk wallets.
- The average monthly exchange rate used to convert the amounts into the tax jurisdiction currencies is also present.
3. Credit Note Page
- This will only appear if you've sent to one of our tax jurisdiction countries and a refund was processed in the billing period.
- There is one credit note per tax jurisdiction country if you have a refund of a gift sent to that country.
- It will show a list of refund transactions what were processed for the billing period broken down into specific costs (product, shipping pick and pack) showing the net amount (before tax), tax rate, and tax amounts in the payment currency and jurisdiction currency.
- There is a summary of transactions by tax rate.
- The total including tax amount is shown in the payment currency and the amount will show that it was restored or given back to your Reachdesk wallets.
- The average monthly exchange rate used to convert the amounts into the tax jurisdiction currencies is also present.
4. Transaction Statement Page
- This will appear even if you have not sent to one of our tax jurisdiction countries.
- This will show all transactions that were processed for the billing period for payment currency.
- If the transaction takes money out of your wallet, it will show the amount in the "Charged" column.
- If the transaction gives money back to your wallet, it will show the amount in the "Credit" column.
- If you want more detail about your transactions, download the CSV.
Transaction Statement CSV
The transaction statement CSV lists all transactions processed during the month, broken down per payment currency.
Important notes:
- Only transactions with a processed status and a processed date within the statement month are included. Pending or cancelled transactions are not shown.
- All transaction types are included.
- Transactions with tax applied are broken down by cost type (for example, product, shipping, or pick and pack).
- Campaign and recipient details appear only for gifts sent using a campaign.
- Tax details and cost type appear only if the gift was sent to a tax jurisdiction country and a tax amount was charged.

| Tax Rate | Rate of tax charged. Empty if no tax applies. |
| Tax Amount (in Payment Currency) | Amount of tax charged in the currency of the payment wallet. Empty if no tax applies. |
| Tax Jurisdiction Currency | Reporting currency of the tax jurisdiction country. Empty if no tax applies. |
| Avg Monthly Exchange Rate for Jurisdiction Currency | Average monthly exchange rate from the payment currency to the jurisdiction currency. Empty if no tax applies. |
| Tax Amount (in Jurisdiction Currency) | Tax amount converted into the jurisdiction currency using the average monthly exchange rate. Empty if no tax applies. |
| Campaign Name | Name of the campaign. Empty if the transaction is not related to a gift sent from a campaign. |
| Team | Team of the sender. Empty if the transaction is not related to a gift sent from a campaign. |
| Sender Name | Full name of the sender. Empty if the transaction is not related to a gift sent from a campaign. |

Frequently Asked Questions
Can I download all transaction statements, or statements for a specific time period, at once?
Not at the moment. You must download statements individually for each month and currency. Reachdesk plans to add the ability to download a zip file containing all statements for a specified time period.
Are all gifts taxed?
No. Reachdesk taxes only gifts sent to countries where Reachdesk has registered tax jurisdiction. E-gifts are always non-taxable.
Can I send my monthly transaction statements to a user outside of Reachdesk, such as someone on my Finance team?
Not at the moment. Reachdesk plans to add this functionality in a future release.
Can I update my billing address and tax registration number?
Not directly at the moment. Reachdesk plans to release a settings page for adding and updating billing and tax details. Until then, contact finance@reachdesk.com.
