Time to get integrated with SAP SuccessFactors
Yesss!!! Welcome to one more HRIS integration! Reachdesk integrates with SAP SuccessFactors too, let's set it up!
What do I need to set up the SAP integration?
Let me guide you through this setup. SAP SuccessFactors requires a few steps (API Server URL, Username, Company ID, OAuth Credentials) by a SAP administrator account in order to configure this integration.
Where can I find the SAP SuccessFactors API Server URL?
Your SAP SuccessFactors API Server URL can be found in the SAP HELP portal. There is a list of API servers, please use the search filter to find the API server for your company. Then enter your SAP SuccessFactors API Server URL into the integration authorization.
Where can I find the SAP Username and Company ID?
Please check your inbox, these info can be easily found in your SAP SuccessFactors welcome email under the Log into your system section. In that section you can find the credentials to access your instance :
- Company User Name
- Company ID, the company link is a login URL which contains an alphanumeric part at end of the link, that’s your Company ID !!!
SAP Username and Company ID can also be found by logging into SAP SuccessFactors, clicking on your profile photo (SAP Username is in the dropdown menu after your name) and then 'Show version information'.
Now that you have your User Name and Company ID it’s time to enter them in the authorization component.
Where can I find the SAP SuccessFactors Client ID and Secret?
I know, so many things to find…it seems like a treasure hunt but we are almost there :) Please log into your SAP instance :
- Navigate to Manage OAuth2 Client Applications
- Then click Register Client Application
- Into the Manage OAuth2 Client Applications enter the Application Name and Application URL
- Click Generate X.509 Certificate
- Fill out Common Name
- Click Generate
- You’ll be redirected back to the same screen, click Download ( a file called Certificate.pem will be downloaded)
- Click Register
- You will see your Application listed, click Edit
- And now you will see an API key, this is your Client ID
- Open up the Certificate.pem file that you have previously downloaded in a text editor. The string between BEGIN ENCRYPTED PRIVATE KEY and END ENCRYPTED PRIVATE KEY is your Client Secret.
Now you are almost ready to use the SAP integration, enter your Client ID and Secret into the integration authorization component, hit the ‘submit’ button and you’ll be ready to send gifts to employees via Reachdesk!
Automate Sends for Employees
Now that you’ve integrated Reachdesk with SAP, please refer to this article to Create Triggered Campaigns for Employee Gifting. It is possible to automate gifting for common work events, such as Birthdays, Work Anniversaries, and for gifting to new joiners.
Important ☝🏻 SAP SF does not provide home_location in their APIs which is particularly relevant if you are sending a physical gift, as the recipient’s location dictates the available Marketplace and Bundle items they can receive. Where home address is not available in the send flow we will automatically replace it with the available work location, which would mean the office address. Please make sure to use the address confirmation feature when using SAP SuccessFactors to ensure the gift is sent to the recipient's preferred address.
FAQ
Who can set up this integration within Reachdesk?
For any HRIS integration we require only one user to set up the connection between the integration and Reachdesk.
Who can access a user’s integration?
Every user who can access the Reachdesk platform is allowed to use the data in the integration once it has been set up. It's important that a user that connects the integration is an admin or has high visibility on the HRIS being connected: they need to have access to employees that have left, have not yet started as well as address, birthday and start date information in order for the product to run effectively.
Nota bene : Please remind that only Reachdesk admins or CM can create triggered campaigns. For further info please refer to this article.
Can I connect more than one HRIS software?
You can only connect one HRIS software per organisation at a time. For example if you connected the Reachdesk platform to HiBob you won’t be able to connect to Workday at the same time. In case you need to use a different HRIS software please disconnect the first one, Hibob to follow the previous example and then connect to the Workday integration.
