Connect Your Reachdesk Account to HubSpot
Connecting HubSpot to Reachdesk takes just a few clicks. Since the integration is established on a per-user basis, each team member must individually authorize their own connection.
Steps to connect
In Reachdesk, navigate to Account > Integrations from the left-side menu.
Locate HubSpot and click Link Account.
Sign in to HubSpot when prompted and review the requested permissions.
Once authentication is complete, your account will show as connected.
Sync Gift Activity to HubSpot Contacts
After a successful connection, Reachdesk pulls contact data in real-time and logs gifting activity back to the corresponding HubSpot record.
What syncs to HubSpot
Reachdesk pushes a custom event to the contact’s activity feed each time a gift is sent.
A new event is automatically created each time the Reachdesk gift status is updated (e.g., Ordered, Shipped, Delivered, Claimed, Cancelled).
What Field Access Reachdesk Has in HubSpot
The integration is governed by HubSpot's OAuth permissions, so Reachdesk only accesses the data needed to send gifts and log activity. Field access falls into two categories: read access (data Reachdesk pulls from HubSpot) and write access (data Reachdesk pushes back to HubSpot).
Read access (data pulled from HubSpot)
- Contact name (first and last name) used to address the gift and personalise messaging.
- Email address used to identify the contact and send any digital gift or claim links.
- Mailing address fields (street, city, state/region, postal code, country) used to ship physical gifts.
- Company and other standard contact properties used to populate recipient details during the send flow.
Write access (data pushed to HubSpot)
- A custom Reachdesk event is written to the contact's activity feed each time a gift is sent.
- Gift status updates (Ordered, Shipped, Delivered, Claimed, Cancelled) are logged as new events on the contact record as the status changes.
Note: Reachdesk does not overwrite or edit your existing standard HubSpot contact properties. Read access is used in real time only at the moment a send is created, and write access is limited to logging Reachdesk gift activity and status events.
Use Reachdesk in HubSpot
There are three main ways to use Reachdesk with HubSpot.
1. Send from the Reachdesk platform or Chrome Extension
Use HubSpot as the real-time contact source during the send flow in Reachdesk.
Start your send in the Reachdesk platform or via the extension.
In the recipient step, select HubSpot as the integration.
Search for and select the contact; Reachdesk will pull the details directly from HubSpot.
2. Send as Part of an Automated Workflow
Use Reachdesk automated campaigns to send gifts automatically based on HubSpot triggers (like a lifecycle stage change or form submission).
Set up an Automated Campaign in Reachdesk.
Use a webhook or HubSpot trigger to fire the gift send automatically to recipients who meet your criteria.

3. Use a Dynamic Link in HubSpot Emails
Use a dynamic gifting link when you want to include gift offers in your own HubSpot marketing emails or sequences.
Create an Automated Campaign in Reachdesk.
Select Generate link to include in CRM or marketing automation emails within the campaign setup.
Copy the generated link and add it to your HubSpot email template.

Frequently Asked Questions
Why can’t I see Reachdesk gift status updates in HubSpot?
Check your activity tracking filters on the contact record to ensure "Reachdesk" is selected. If the integration was recently linked, only new activity will sync.
What appears in HubSpot when a gift is sent from Reachdesk?
Reachdesk creates a custom event on the relevant HubSpot contact record, detailing the gift type and current status. Here are some examples:
Does Reachdesk create only one HubSpot event per gift?
No. A new event is created every time the status of that specific gift changes, allowing you to track the recipient's journey.
Can I send gifts to HubSpot contacts without leaving Reachdesk?
Yes. By selecting HubSpot in the recipient step of the send flow, you can search your HubSpot database directly from Reachdesk.
Does updating a contact's address in HubSpot automatically update their existing "Pending" sends in Reachdesk?
No. Reachdesk pulls contact data from HubSpot in real-time only at the exact moment the send is created. If a contact's address is updated in HubSpot after the send has already triggered, it will not retroactively update any existing Pending sends in Reachdesk. To fix the addresses on those pending sends, you must either bulk reject the sends in Reachdesk and re-trigger them from HubSpot, or manually update the addresses using the Review > Edit flow on the Sends page.
