Import People Data from Rippling to Reachdesk via SFTP (Early Access Only)

Enable SFTP Import in Reachdesk

The following steps need to be done by an admin in Reachdesk.

1. Login to Reachdesk as an admin.

2. Go to Account > Integrations

3. If you have an existing HRIS integrations, follow the instructions here on how to disconnect and switch to a new HRIS integration. 

4. If you don't have any existing HRIS integrations, click "Enable" on "Daily SFTP Import."

5. Select Rippling and click "Enable"

6. You will see the connection details that you need access to when setting up your connection in Rippling. Please remember to save the password.

Setup SFTP destination in Rippling

The following steps need to be done by your admin in Rippling.

  1. Login to Rippling
  2. Go to Workflow Studio.
  3. Click Create Workflow.
  4. Under "Choose your workflow trigger," select On a Set Schedule and set the frequency (e.g. daily) and time you'd like the sync to run.
  5. Click Save.
  6. Under Actions, drag in Send a Report via SFTP.
  7. You'll see a "More information required" prompt — click into it and enter the host, port, path, username, and password exactly as shown in Reachdesk.
  8. Leave the workflow open — you'll attach the report to it in the next section.

 

Create and Schedule SFTP Report in Rippling

The following steps need to be done by your admin in Ripping.

1. Go to Tools > Reports.

2. Click New Report > Start from Scratch to open the report builder. 

3. Use the search bar to add the fields listed below. Some are required and need to be in a particular format, and some are optional. Add the fields you need and are required and generate the report.

  • The field names in bold need to be updated
  • Field names in Reachdesk are case insensitive and spaces/dots/underscores are ignored. For e.g. you can put First name or firstname or first_name and it's still accepted.

There is no direct field mapping with these fields in Rippling, but you can create custom fields, or just exclude them from the report.

4. Rename any columns so the headers match the accepted Reachdesk field name — in the report builder, you can rename a field's output column directly.

5. Filter your report as needed. If you only want to sync "active" employees, filter by employment status = Active.

6. Click Save and give the report a clear name (e.g. "Reachdesk SFTP Export").

7. Go back to the workflow you created in Workflow Studio.

8. On the Send a Report via SFTP action, select the report you just built.

9. Choose CSV as the file format.

10. Confirm the schedule frequency and time set on the trigger step.

11. Click Save and Publish the workflow.

On the first scheduled run, check that a test file was delivered correctly and that Reachdesk received it — this validates the connection before you rely on it for ongoing syncs.

 

View Import History and People Insights in Reachdesk

1. Go back to Reachdesk in the SFTP page

2. Go to the Import details section. Ignore the test files from Rippling; those are automatically cancelled.

3. You will see the first file "scheduled." You can click on Sync to sync the data right away.

4. After clicking Sync, the status will be updated to "Processing"

5. After a few minutes, the status will be updated to "Processing" and you will see how many employees/people are synced.

6. Everyday or based on how frequent your schedule is, you will see the file appear in the import history and have the option to manually sync as needed.

7. Click on the number in People to go to the Insights page. You'll see the employees/people in more detail on the "People" tab.

Start sending to your employees

You can either setup an automated campaign, or send a campaign to leverage your new HRIS integration.

Automated campaigns

When setting up an automated campaign, select Rippling as the "sending user."

Autofill recipient details when sending a campaign

1. Click on "Send Gift" > Select a campaign

2. In the recipient step, select Rippling > search for the employee you want to send a gift to.

3. Continue to send your campaign.
