How do I connect Marketo to Reachdesk?

Do I need a Marketo admin to set up the integration?
Yes. You’ll need a Marketo Admin for the initial setup tasks like creating a new custom service, API roles, and custom fields. Once those steps are finished and the connection is established, you won't need admin support for day-to-day sending or connecting additional users.

Trigger Reachdesk campaigns from Marketo
How do I trigger a Reachdesk campaign from Marketo?
Once the integration is live, you can use any Marketo trigger to fire off a Reachdesk campaign. In the flow step of your Marketo Smart Campaign:
What triggers push and pull data from Marketo to Reachdesk?
You can use any trigger in Marketo to send a Reachdesk campaign. Reachdesk uses the contact information for anyone who matches your specific trigger criteria to process the send.

My campaign hasn’t triggered. What is going wrong?
There are a few usual suspects when a campaign doesn't fire:
Webhook: Check the "Results" tab in your Marketo campaign. If the webhook failed, it’s usually down to missing info or a setup error.
Address Verification: If you have address verification turned off, the send will fail if the recipient’s contact record is missing a country or email.
Trigger vs. Filter: Reachdesk sends can only be triggered from a Marketo Trigger, not a filter.
Custom Fields: If you’re using custom address fields, make sure those are mapped correctly in your webhook.
Why can’t I see the Reachdesk campaign UUID?
First, make sure you created the campaign in the Automated Campaigns tab. If you create it as a manual campaign, the UUID won't be generated for this use case.
To make the UUID appear:
Create the campaign in the Automated Campaigns tab.
Select Marketo as the connector under "Sending user."
Open Automation rules, and your UUID will be right there.
Marketo programs and status mapping
Does Reachdesk map to Marketo programs?
Yes. Reachdesk maps campaigns to Marketo programs. When something happens in Reachdesk (like a gift being delivered), we’ll automatically update the Program Member Status in Marketo for you.
How often does Reachdesk sync with Marketo programs?
Reachdesk does a full sync once every 24 hours.
If you’ve just made changes in Marketo and don't want to wait, you can force a manual sync:
Go to Integrations.
Select Marketo.
Open the Advanced Options tab and click Sync Marketo Programs.
How quickly does the sync happen after a campaign is executed?
It depends on what’s syncing:
Activity Sync: When a gift is sent, the write-back to the Marketo timeline happens almost instantly (usually within a few minutes).
Program Sync: If you change a program name or channel in Marketo, Reachdesk sees that during the daily sync.
How quickly do gift status updates sync to my Marketo Program?
Gift status updates (e.g., Shipped, Delivered, Claimed) are synced to your mapped Marketo Program Member Statuses in near real-time, usually within a few minutes of the event occurring in Reachdesk.
The 24-hour sync cycle mentioned in our documentation refers only to the "Discovery" period Reachdesk uses to find newly created Marketo Programs or Folders to show in your campaign dropdown. If you've just created a new program and don't see it yet, you can use the Sync Marketo Programs button in your Integration settings to pull it through immediately.
Why can’t I see my Marketo Program in Reachdesk?
If your program isn't appearing in the dropdown, it’s likely because:
The 24-hour daily sync hasn't run yet.
The program name doesn't match exactly what you're searching for.
If Reachdesk is handling the landing page, can we still sync to a Marketo program?
No. If you want to sync specifically to a Marketo program, it’s best for you to own the landing page and build it directly in Marketo. Reachdesk doesn't currently support syncing to programs when we are managing the landing page for that specific campaign.
Data and Records
What information does Reachdesk populate in Marketo?
We don’t edit or overwrite existing person records. Reachdesk simply uses the data to process the gift and then writes back to the Program Member Status to show the progress of the gift.
Which information does Reachdesk read and write to?
Read more about this in our Marketo field access: fields Reachdesk reads and writes to guide.
Read: We search for or receive (via webhook) the contact information needed to send the gift (Name, Email, Address, etc.).
Write: we write to the Program Member Status based on the outcome of the campaign (e.g., "Delivered," "Claimed").
What happens if a campaign triggers when I have no balance?
The send will trigger, but it’ll sit in Pending in your Sends tab. Once you top up your wallet, you’ll just need to go in and manually approve those pending sends.
What happens if I run out of stock?
Similar to balance issues, the send will stay in Pending. You'll get a notification that it can't be fulfilled until more stock arrives. You can leave it there until the warehouse checks in new inventory or the campaign expires.
Logistics & Notifications
I’ve sent a campaign and I'm getting lots of email notifications. Is this normal?
Yes! The connector account used to send the Reachdesk campaign will receive automatic email notifications whenever a physical gift is sent or delivered. This helps you keep track of successful sends in real-time.
My Reachdesk campaign isn’t mapping back to Marketo. What’s happening?
Check these two things first:
Status Mapping: Double-check that you’ve mapped your Reachdesk statuses to your Marketo statuses correctly in the Reachdesk platform.
Webhook Success: Verify that the webhook actually fired in Marketo’s "Results" tab and that the send appears in the "Sends" tab in Reachdesk.
