Use a HubSpot workflow to alert your team of Reachdesk Gifting Activity. This helps teams follow up on marketing campaigns, automated workflows, or one-off sends without manually checking Reachdesk.
You can use different alert methods, such as email notifications, tags, or Slack notifications.
Before You Start
Integration Check: Ensure your Reachdesk account is connected to HubSpot under Account > Integrations. Since the integration is established on a per-user basis, each sender needs an active connection for their activity to sync.
Permissions: You’ll need App Marketplace permissions in HubSpot to access Reachdesk App Events in workflows.
Slack Integration (Optional): If you want Slack alerts, make sure the HubSpot Slack app is already installed in your HubSpot portal.
Steps to set up triggers in a HubSport Workflow
Create your workflow: In HubSpot, create a new Contact-based workflow.
Choose the trigger type: Select When filter criteria are met.
Select the object: Choose Contact.
Find Reachdesk events: Scroll down to App Events and select Reachdesk.
Filter by Activity: Select Reachdesk Engage Activity properties.
Define the Status: Choose Status and select the criteria you want to monitor.
Step 2: Add the Alert Action
Once your trigger is set, add an action and choose the communication method that works best for your team:
Internal Email: Choose Send internal email notification. You can send this to the Contact Owner and include personalization tokens like the Engage ID (Send Number).
Slack Alert: Choose Send Slack notification. You can map the alert to a specific channel or the lead owner’s DM.
Task Creation: Choose Create task.
Frequently Asked Questions
Why don't I see Reachdesk under App Events?
This usually means the integration hasn't been authorized yet or you lack the correct HubSpot permissions. Double-check your connection in Reachdesk under Account > Integrations.
Who receives the alert?
You can configure alerts to go to the Contact Owner, specific individuals, or shared Slack channels.
Can I include the gift details in the alert?
Yes! When drafting the notification, use "Contact Properties" to pull in Reachdesk data like the Engage ID so the recipient has the full context.
