For better budgeting, you can choose to include the cost of items from our warehouse in the total cost of your gift.
Senders will be charged the full cost of the bundle campaign, including the warehouse item costs. Since you already paid for the items, once the bundle is shipped to the recipient, the cost of the warehouse items will be refunded back to the organization wallet.
This will allow admins to take into account the full cost of the gift in the sender's budget.
How can you enable this feature?
1. Login as an admin, go to Organization > Settings > Budgeting and enable "Include item cost to bundle campaign spend"
2. Go to a Bundle Campaign and enable the "Include warehouse item cost" setting in the "Send options" section.
3. Once enabled, the total cost of the warehouse items on the campaign will be added to the total estimated cost of the bundle.
4. For amazon bundle campaigns, the Amazon product's cost will be shown separately.
5. Save your campaign and on the campaigns page or when clicking "send gift," you will see the total cost of the bundle campaign has been updated.
What happens when a bundle campaign is sent when this feature is enabled?
When sending the bundle campaign, the warehouse item costs will be included in the total spend. This will be visible in the following steps of the sending wizard:
2. Once the gift is sent for address confirmation, the total cost of the gift will be in the user's unclaimed balance.
3. Once the gift is processed (either the recipient claimed and confirmed their address, or it was sent directly to an address without address confirmation), the total cost of the gift will be taken out of the user's available balance.
4. Once the gift is shipped, the cost of the warehouse items will be refunded back to the organization wallet that matches the currency of the payment wallet.
Where can I see the related transactions?
1. When a bundle campaign with this feature enabled is sent, there will be two types of transactions created so you can clearly distinguish between the cost of the warehouse item, and the cost of shipping/pick and pack fees.
2. Go to Balances > Transactions and filter based on the gift you just sent if you want to see the related transactions
3. You can also filter the transaction type by "item cost allocation" so you can see transactions related to the warehouse item cost
4. Once the "item cost allocation" is processed (when the bundle is shipped), the cost will be returned back to the organization wallet that matches the currency of the payment wallet used.
What if I want to transfer the total spend on warehouse items to another wallet?
By default, once the "item cost allocation" is processed (when the bundle is shipped), the cost will be returned back to the organization wallet that matches the currency of the payment wallet used.
Going forward, we will add an option to let you choose the refund wallet in the organization budgeting settings.
For now, please follow the instructions below on how to transfer the total spend on warehouse items from the organization wallet to another wallet:
1. Go to Balances > Transactions
2. Filter transaction type by "Item Cost Allocation" and status by "Processed"
3. Filter by team or campaign, or however you want to track your warehouse item spend.
4. Once the table is updated, click on the three dots on the top right and click on "Download as CSV"
5. Calculate the total spend you want to transfer to another wallet.
6. Go to Balances > Wallets > Click on Transfer Credit
7. Add the amount you want to transfer, select the organization wallet you want to transfer from, and the wallet you want to transfer to.
Notes:
- This setting only applies to bundle campaigns, not stock shipments.
- The campaign setting has to be enabled in order for the warehouse item cost to be included in the total spend, if not enabled, only shipping and pick and pack fees will be included.
- If the organization setting is disabled, the campaign setting will be disabled automatically and future sends won't include the warehouse item cost.
