We understand that gift inventory is often shared between different teams, or owned by one team who want to control who has access to this inventory. To have better controls on which teams have access to which items in our warehouse, you can now assign items to teams.
Who can assign an item to one or more teams?
Admins and campaigns manager roles
How can an item be assigned to one or more teams?
When you are creating or editing an item, in the Overview tab, add teams against the Team Access field.
Note: If no team is selected, all teams have access to the item.
Where can I see which team(s) has access to the item?
This will be in the inventory page and the bundle campaign page.
How can I filter only items assigned to my team?
- Go to Inventory > Items
- Click on the filter icon on the top right
- Filter by team(s)
How does this impact how an item is assigned to a bundle campaign?
In order to add an item against a campaign, the campaign's team access must match the item's team access.
For example:
If Item A is assigned to Team A and Team B, the bundle campaign must have access to either:
- Team A
- Team B
- Team A and B
Reachdesk Purple T-Shirt, which is accessible to the Account Managers & UK Marketing Team can be added to this campaign because the campaign is accessible to the Account Managers team
Reachdesk Purple T-Shirt, which is accessible to the Account Managers & UK Marketing Team can be added to this campaign because the campaign is accessible to both the Account Managers and UK Marketing team
Reachdesk Purple T-Shirt, which is accessible to the Account Managers & UK Marketing Team cannot be added to this campaign because the campaign is accessible to the Marketing EMEA Team, who does not have access to this item.
In this scenario, we will show a warning and the campaign cannot be saved.
What about existing bundle campaigns that have a team that does not have access to the item?
If you have existing campaigns where the campaign has a team that does not have access to the item, similar to the scenario above:
- If you edit the team access of an item, you will receive an email with the list of bundle campaigns that are impacted, and will be instructed to either remove the item, or update the team access of the item or campaign.
- If you edit the bundle campaign, you will see the error shown above and will be instructed to either remove the item, or update the team access of the item or campaign.
Note that we will not automatically pause these campaigns.
Below is an example of the email you will receive. Only the user updating the item will receive this email.
